Privacy policy

Last updated: July 2026

This page states exactly what we collect on this site, where it is stored β€” including outside the European Union β€” how long we keep it, and how to ask us to delete it. We sell data governance: the least we can do is be precise about our own.

Who is responsible

Botler360 Ltd (10644529), 10 Cousins Close, Yiewsley, West Drayton, UB7 8QG, England. For any question or to exercise your rights: contact@botler360.com.

What we collect, and why

What it isWhenWhyLegal basis
Name, email, phone (if given), company, trade, team size, your message When you fill in the contact form To reply to you and prepare our conversation Your consent, given on the form
What you say to our voice agent, its written transcript, and the summary of your need When you click the agent's face and speak to it To answer during the conversation, then follow up if you leave contact details Your consent β€” you start the conversation
Server technical logs (IP address, timestamp, page requested) On every visit Security, abuse prevention, fault diagnosis Our legitimate interest in running the service

Our voice agent keeps a written record of the conversation. It is not an exchange that evaporates: the transcript is stored with your request. If you would rather leave no trace, don't use the agent β€” the form and email are there for you.

Transfer outside the European Union. The database that receives requests from this site is located in the United States. That transfer is covered by: Google Cloud (Google LLC), certified under the EU-US Data Privacy Framework, with standard contractual clauses included in Google's data processing agreement. You may ask us for a copy of those safeguards.

This concerns the data of this site. For a platform deployed for your company, the hosting region is a contract parameter: we install in Europe if you ask, and we write it down.

How long we keep it

If you become a client, retention for contract data is set by our terms and the accompanying data processing agreement.

Who has access

The Botler360 Ltd and Best of Tours group teams who handle sales enquiries. Our technical sub-processors are the ones listed in the table above, each bound by a processing agreement. Nobody else.

Your rights

At any time you may request access to your information, its correction, its deletion, restriction of processing, portability, or withdraw your consent. One address: contact@botler360.com. We reply within 30 days, and in practice much sooner.

If our answer does not satisfy you, you may complain to your national data protection authority β€” the ICO in the United Kingdom, the CNIL in France.

Processing on behalf of our clients

When we run a platform for a travel company, that company is the controller and we are its processor within the meaning of Article 28 GDPR. A data processing agreement is provided with every contract, and is available on request.

Changes

If we change something material β€” a new sub-processor, a new hosting region, a new purpose β€” we update this page and the date at the top.
